This Privacy Policy (“Policy”) describes how VoidSpec LLC (“VoidSpec,” “we,” “us,” or “our”) collects, uses, retains, discloses, and protects personal information when you visit our website at voidspec.com, purchase our products, or otherwise interact with our business (collectively, the “Services”). This Policy applies to information collected through the Services and through related sales, marketing, customer support, and fulfillment activities.


By using the Services or purchasing from VoidSpec, you agree to the practices described in this Policy. If you do not agree, do not use the Services.


1. Information We Collect


1.1 Information You Provide


We collect personal information you provide directly when you interact with us. Depending on how you use the Services, this may include:


  • Identifiers: name, mailing address, billing address, email address, phone number, account username, and password
  • Transaction information: products purchased, order history, order amounts, dates, shipping preferences, and order notes
  • Payment information: payment card number, expiration date, card verification value, and billing zip code. This information is collected and transmitted directly to our payment processor and is not stored on VoidSpec servers (see Section 1.4 below).
  • Communications: the content of emails, contact form submissions, and any other correspondence you send to us
  • Customer verification information: age confirmation, jurisdiction confirmation, and any documentation you voluntarily provide to support a return, RMA, defect claim, or payment dispute

1.2 Information Collected Automatically


When you visit the Services, we and our service providers automatically collect certain technical information, which may include:


  • Internet Protocol (IP) address
  • Browser type, version, and language settings
  • Operating system and device characteristics
  • Referring website or source
  • Pages visited, links clicked, time spent on pages, and other browsing behavior on our Services
  • Date, time, and duration of visits
  • Cookies, web beacons, pixels, and similar tracking technologies (see Section 4)
  • For purchases: the IP address, device fingerprint, and approximate geolocation associated with the order, used for fraud screening

1.3 Information from Third Parties


We may receive information about you from third parties that provide services to us, including:


  • Payment processors and fraud screening services (transaction verification, AVS and CVV match results, risk scores)
  • Shipping carriers (tracking events, delivery confirmation, address verification)
  • Analytics providers (aggregated and de-identified site usage data)
  • Marketing service providers, if applicable

1.4 Payment Information Handling


Payment card information is collected at checkout and transmitted directly to our payment processor, Authorize.net, which is a PCI-DSS compliant payment service provider. VoidSpec does not retain full payment card numbers on its servers. We retain only the information necessary to identify the transaction (such as the last four digits of the card and the authorization reference number) for order management, fraud prevention, and chargeback defense purposes.


1.5 Sensitive Information


We do not knowingly collect sensitive personal information as defined under applicable state privacy laws (such as Social Security numbers, driver’s license numbers, government identification numbers, genetic data, biometric data, precise geolocation data, racial or ethnic origin, religious beliefs, sexual orientation, citizenship status, or union membership). If you provide such information voluntarily, you do so at your own risk and you authorize us to use it for the purpose for which it was provided.


2. How We Use Your Information


We use the information we collect for the following purposes:


  • Order fulfillment: processing your orders, communicating order status, arranging shipment, and providing customer support
  • Payment processing: authorizing and capturing payment, verifying billing information, and processing refunds where applicable
  • Fraud prevention and security: screening orders for fraud indicators, verifying customer identity, protecting against unauthorized access, and maintaining the integrity of our Services
  • Chargeback defense and dispute resolution: retaining and using order records, communications, IP addresses, AVS/CVV results, delivery confirmation, and other transactional data to respond to payment disputes, chargebacks, and claims
  • Regulatory compliance: meeting our obligations under federal, state, and local law, including tax reporting, age verification, jurisdictional restrictions on firearm parts, and responses to lawful requests from government authorities
  • Communications: responding to your inquiries, sending transactional emails (order confirmations, shipping notifications, RMA correspondence), and, with your consent where required, marketing communications
  • Service improvement: understanding how customers use our Services and improving site functionality, product offerings, and customer experience
  • Legal and policy enforcement: enforcing our Terms, Refund and Return Policy, and other agreements; investigating violations; and protecting our rights, property, and the safety of our customers and the public

3. When and With Whom We Share Information


We do not sell your personal information. We share personal information only in the following circumstances:


3.1 Service Providers


We share information with third-party service providers that perform functions on our behalf, including:


  • Payment processors and fraud screening services
  • Shipping carriers and logistics providers
  • Email service providers and customer communication platforms
  • Website hosting and infrastructure providers
  • Analytics providers
  • Accounting, tax, and legal advisors

These service providers are contractually obligated to use the information only as necessary to perform services for VoidSpec.


3.2 Payment Dispute and Chargeback Defense


You expressly acknowledge and consent that we may share your personal information, transaction details, communication history, IP address, device information, delivery confirmation, and any other relevant records with payment processors, card networks (Visa, Mastercard, American Express, Discover), issuing banks, acquiring banks, and arbitrators for the purpose of defending against payment disputes, chargebacks, and similar claims.


3.3 Legal Compliance and Protection of Rights


We may disclose information when we believe in good faith that disclosure is necessary to:


  • Comply with applicable law, regulation, subpoena, court order, or government request
  • Cooperate with law enforcement investigations
  • Enforce our Terms, Refund and Return Policy, and other agreements
  • Detect, prevent, or address fraud, security issues, or technical issues
  • Protect the rights, property, or safety of VoidSpec, our customers, or the public

3.4 Business Transfers


If VoidSpec is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of all or part of its assets, your information may be transferred or disclosed as part of that transaction, subject to standard confidentiality protections.


3.5 With Your Consent


We may share information with third parties for purposes other than those listed above when you have given us consent to do so.


4. Cookies and Tracking Technologies


We and our service providers use cookies, web beacons, pixels, and similar technologies to operate the Services, remember your preferences, secure your sessions, prevent fraud, analyze site usage, and, where applicable, deliver advertising.


  • Strictly necessary cookies enable core site functions like shopping cart operation, secure login, and checkout. These cannot be disabled without breaking the Services.
  • Analytics cookies help us understand how visitors use the Services. We may use providers such as Google Analytics. You may opt out of Google Analytics tracking at tools.google.com/dlpage/gaoptout.
  • Functional cookies remember your preferences and account state across visits.
  • Advertising and targeting cookies, if used, may track activity across sites for advertising purposes. Where applicable state law treats such tracking as a “sale” or “sharing” of personal information, you may opt out under Section 7 below.

Most browsers accept cookies by default but allow you to refuse them or clear them through browser settings. Refusing cookies may impair functionality of the Services.


5. Data Retention


We retain personal information for as long as necessary to fulfill the purposes for which it was collected and to meet our legal, accounting, tax, and dispute resolution obligations. Specific retention periods include:


  • Transaction records: minimum of seven (7) years following the transaction date, to meet tax recordkeeping requirements, support warranty and defect claims under our Refund and Return Policy, and defend against payment disputes and chargebacks. Card network rules permit chargebacks to be filed for periods of up to 540 days from the transaction date, and arbitration cases may extend further.
  • Communications and support records: a minimum of three (3) years following the date of the communication, longer if connected to an active or potential dispute.
  • Account information: for the duration of the account plus a reasonable wind-down period following account closure.
  • Marketing data: until you opt out or for a reasonable period of inactivity, whichever comes first.
  • Records subject to legal hold: retained until the underlying matter is resolved.

When information is no longer needed, we will delete or de-identify it. If deletion is not technically feasible (for example, due to backup retention), we will isolate the information from further processing until deletion is possible.


6. Data Security


We implement reasonable administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, use, disclosure, alteration, or destruction. These include encryption of payment data in transit, access controls on our internal systems, and the use of PCI-DSS compliant payment processing infrastructure.


No system is impenetrable. Transmission of information over the internet carries inherent risk. We cannot guarantee that unauthorized parties will never gain access to information, and you acknowledge this risk in using the Services.


7. Your Privacy Rights


Depending on your state of residence, you may have certain rights regarding your personal information. These rights are not absolute and may be limited by applicable law.


7.1 Rights Available to U.S. State Residents


Residents of California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, and Virginia may have the right to:


  • Know whether we process your personal information and access the personal information we hold about you
  • Correct inaccurate personal information
  • Request deletion of your personal information, subject to legal retention obligations
  • Obtain a copy of the personal information you have provided to us, in a portable format where required
  • Opt out of targeted advertising, sales of personal information, or certain profiling activities (where applicable)
  • Be free from discrimination for exercising your privacy rights
  • Appeal a denial of a privacy rights request

7.2 Exercising Your Rights


To exercise any of these rights, contact us at customerservice@voidspec.com with the subject line “Privacy Rights Request” and include sufficient information for us to verify your identity. We will respond within the timeframe required by applicable law (typically 45 days, with one possible extension where permitted).


7.3 Limitations


We may decline a request, in whole or in part, where permitted by law, including where we are required to retain the information for tax, accounting, dispute resolution, fraud prevention, legal compliance, or chargeback defense purposes. We will inform you of the reason for any denial and your right to appeal.


7.4 Verification


To protect your information, we will verify your identity before fulfilling any privacy rights request. We may ask you to provide information that matches what we already have on file. Authorized agents must provide written authorization signed by the consumer.


7.5 California “Shine the Light” Law


California residents may request information about disclosures of personal information to third parties for those third parties’ direct marketing purposes during the preceding calendar year. To make such a request, contact us at customerservice@voidspec.com. We do not currently disclose personal information to third parties for their direct marketing purposes.


8. Do Not Track


Our Services do not currently respond to “Do Not Track” signals because no industry-wide standard for these signals has been adopted. We will revise this Section if a standard is established.


9. Minors


Our Services and products are intended for adults. We do not knowingly collect personal information from individuals under the age of 18. Purchases are restricted to individuals 18 years of age or older (21 where required by law). If we learn that we have collected personal information from a minor in violation of this Policy, we will delete that information promptly.


10. International Visitors


Our Services are operated from and intended for use in the United States. If you access the Services from outside the United States, your information will be transferred to, processed in, and stored in the United States, which may have different data protection laws than your country of residence. By using the Services, you consent to this transfer.


11. Third-Party Websites


Our Services may contain links to third-party websites or services. This Policy does not apply to those third-party properties, and we are not responsible for their privacy practices. We encourage you to review the privacy policies of any third-party site you visit.


12. Changes to This Policy


We may update this Policy from time to time. The “Last Updated” date at the top of this Policy reflects the most recent revision. Material changes will be communicated by prominent notice on the Services or by direct notification where required. Continued use of the Services after an update constitutes acceptance of the revised Policy.
